This Privacy Policy ("Policy") describes how RoomSnap LLC, an Oklahoma limited liability company ("RoomSnap," "we," "us," or "our"), collects, uses, stores, shares, and protects information about you when you access or use the RoomSnap website, web application, and related services (collectively, the "Service"). By using the Service, you acknowledge that you have read and understood this Policy and consent to the data practices described herein. If you do not agree to this Policy, you must immediately cease all use of the Service.

THIS POLICY IS NOT A CONTRACT AND DOES NOT CREATE ANY LEGAL RIGHTS OR OBLIGATIONS BEYOND THOSE DESCRIBED IN OUR TERMS OF SERVICE. ROOMSNAP LLC, ITS MEMBERS, MANAGERS, OFFICERS, EMPLOYEES, AGENTS, AFFILIATES, INVESTORS, AND ALL RELATED PARTIES (COLLECTIVELY, "ROOMSNAP PARTIES") EXPRESSLY DISCLAIM ALL LIABILITY ARISING FROM OR RELATED TO THE COLLECTION, USE, OR DISCLOSURE OF YOUR INFORMATION, TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW.

1. Information We Collect

We collect information in the following categories:

1.1 Information You Provide Directly

  • Account information: Name and email address provided through Google OAuth or other supported login methods.
  • Project data: Room names, categories, product selections, prices, notes, links, and other home build information you enter into the Service.
  • Uploaded files: Images, floor plans, lot photos, and other files you upload to the Service.
  • Communications: Messages, feedback, or support requests you send to us.

1.2 Information Collected Automatically

  • Usage data: Pages visited, features used, clicks, session duration, and interaction patterns within the Service.
  • Device and technical data: IP address, browser type and version, operating system, device identifiers, and referring URLs.
  • Cookies and similar technologies: Session cookies, authentication tokens, and analytics identifiers. See Section 6 for more detail.
  • Log data: Server logs recording access times, error events, and system activity.

1.3 Payment Information

Payment processing is handled entirely by Stripe, Inc. RoomSnap does not collect, store, or have access to your full payment card number, CVV, or card expiration date. We receive only limited transaction metadata from Stripe, such as a customer identifier, subscription identifier, and payment status, which we use solely to manage your account and subscription.

1.4 Information from Third Parties

When you sign in using a third-party OAuth provider (such as Google), we receive basic profile information (name and email address) as permitted by that provider and as authorized by you during the login process. We do not receive your passwords or other sensitive credentials from third-party providers.

2. How We Use Your Information

We use the information we collect for the following purposes:

  • To create, maintain, and authenticate your account;
  • To provide, operate, and improve the Service and its features;
  • To process subscription payments and manage billing;
  • To respond to your support requests, questions, and feedback;
  • To send transactional communications (e.g., account confirmations, subscription receipts, service notices);
  • To send promotional communications, where you have opted in or where permitted by applicable law;
  • To analyze usage patterns and improve the performance, security, and functionality of the Service;
  • To detect, prevent, and investigate fraud, abuse, security incidents, and violations of our Terms of Service;
  • To comply with applicable legal obligations and enforce our agreements;
  • To exercise or defend legal claims.

ROOMSNAP DOES NOT SELL YOUR PERSONAL INFORMATION TO THIRD PARTIES FOR THEIR OWN MARKETING PURPOSES.

3. How We Share Your Information

We may share your information in the following circumstances:

3.1 Service Providers

We share information with third-party vendors and service providers that perform services on our behalf, including cloud hosting and storage (Amazon Web Services), payment processing (Stripe, Inc.), authentication services, analytics providers, and email delivery services. These providers are contractually obligated to use your information only as directed by RoomSnap and in accordance with this Policy.

3.2 Sharing You Initiate

When you use the Service's sharing or export features (such as sharing a project link or exporting a PDF to a builder), you are directing RoomSnap to make that information accessible to the recipient(s) you designate. RoomSnap is not responsible for how recipients use, store, or share information you choose to share with them.

3.3 Business Transfers

In the event of a merger, acquisition, reorganization, bankruptcy, or sale of all or a portion of RoomSnap's assets, your information may be transferred to the acquiring entity as part of that transaction. We will provide notice of any such transfer and any choices you may have regarding your information to the extent required by applicable law.

3.4 Legal Requirements and Protection

We may disclose your information if we believe in good faith that such disclosure is necessary to: (a) comply with applicable law, regulation, legal process, or enforceable governmental request; (b) enforce our Terms of Service or other agreements; (c) detect, prevent, or address fraud, security, or technical issues; or (d) protect the rights, property, or safety of RoomSnap, its users, or the public.

3.5 Aggregated and De-Identified Data

We may share aggregated or de-identified information that cannot reasonably be used to identify you for research, analytics, marketing, or other business purposes.

4. Data Retention

We retain your information for as long as your account is active or as needed to provide the Service, comply with our legal obligations, resolve disputes, and enforce our agreements. When you delete your account, we will delete or anonymize your personal information within a commercially reasonable time, except where retention is required by law or for legitimate business purposes such as fraud prevention, audit trails, or dispute resolution.

ROOMSNAP PARTIES SHALL HAVE NO LIABILITY FOR ANY LOSS, DAMAGE, OR HARM ARISING FROM THE RETENTION OR DELETION OF YOUR INFORMATION IN ACCORDANCE WITH THIS POLICY.

5. Data Security

RoomSnap implements commercially reasonable technical and organizational measures designed to protect your information against unauthorized access, alteration, disclosure, or destruction. These measures include encryption of data in transit (TLS/HTTPS), access controls, and secure cloud infrastructure.

HOWEVER, NO METHOD OF TRANSMISSION OVER THE INTERNET OR METHOD OF ELECTRONIC STORAGE IS 100% SECURE. ROOMSNAP PARTIES DO NOT WARRANT OR GUARANTEE THE SECURITY OF YOUR INFORMATION AND SHALL HAVE NO LIABILITY FOR ANY UNAUTHORIZED ACCESS, DATA BREACH, HACKING, OR OTHER SECURITY INCIDENT AFFECTING YOUR INFORMATION, EXCEPT TO THE EXTENT REQUIRED BY APPLICABLE LAW. YOU TRANSMIT INFORMATION TO THE SERVICE AT YOUR OWN RISK.

6. Cookies and Tracking Technologies

The Service uses cookies and similar tracking technologies to authenticate your session, remember your preferences, and collect analytics data. Specifically, we use:

  • Session cookies: Required for authentication and to keep you logged in during your session. These are deleted when you close your browser.
  • Persistent cookies: Used to remember your preferences and settings across sessions.
  • Analytics cookies: Used to understand how users interact with the Service, which pages are most visited, and how to improve performance.

You may configure your browser to refuse cookies or to alert you when cookies are being sent. However, disabling cookies may prevent certain features of the Service from functioning correctly, including authentication. RoomSnap is not responsible for any loss of functionality resulting from your cookie settings.

7. Third-Party Services and Links

The Service may contain links to or integrations with third-party websites, services, or applications. This Policy does not apply to those third-party services, and RoomSnap is not responsible for the privacy practices of any third party. We encourage you to review the privacy policies of any third-party services you access through the Service. ROOMSNAP PARTIES SHALL HAVE NO LIABILITY FOR THE PRIVACY PRACTICES OR DATA HANDLING OF ANY THIRD PARTY.

8. Children's Privacy

The Service is not directed to children under the age of thirteen (13), and we do not knowingly collect personal information from children under 13. If we become aware that we have collected personal information from a child under 13 without verifiable parental consent, we will take steps to delete that information. If you believe we may have collected information from a child under 13, please contact us through the contact form on our website.

9. Your Rights and Choices

Depending on your jurisdiction, you may have certain rights regarding your personal information. These may include the right to access, correct, or delete your personal information; the right to object to or restrict certain processing; and the right to data portability. To exercise any applicable rights, please contact us through the contact form on our website.

You may opt out of promotional email communications by clicking the "unsubscribe" link in any such email. You cannot opt out of transactional communications necessary to provide the Service (such as account confirmations and billing notices).

ROOMSNAP WILL USE COMMERCIALLY REASONABLE EFFORTS TO HONOR VALID REQUESTS BUT CANNOT GUARANTEE THAT ALL REQUESTS CAN BE FULFILLED IN ALL CIRCUMSTANCES. ROOMSNAP PARTIES SHALL HAVE NO LIABILITY FOR ANY INABILITY TO FULFILL A REQUEST WHERE DOING SO WOULD CONFLICT WITH APPLICABLE LAW OR OUR LEGITIMATE BUSINESS INTERESTS.

10. International Data Transfers

RoomSnap is based in the United States and the Service is operated from the United States. If you access the Service from outside the United States, your information will be transferred to and processed in the United States, where data protection laws may differ from those in your jurisdiction. By using the Service, you consent to the transfer of your information to the United States. ROOMSNAP PARTIES SHALL HAVE NO LIABILITY FOR ANY CONSEQUENCES ARISING FROM SUCH INTERNATIONAL DATA TRANSFERS.

11. California Privacy Rights

If you are a California resident, you may have additional rights under the California Consumer Privacy Act ("CCPA") and the California Privacy Rights Act ("CPRA"), including the right to know what personal information we collect, the right to delete your personal information, the right to correct inaccurate personal information, and the right to opt out of the sale or sharing of personal information. As stated above, RoomSnap does not sell your personal information. To exercise your California privacy rights, please contact us through the contact form on our website. We will not discriminate against you for exercising your privacy rights.

12. Changes to This Policy

RoomSnap reserves the right to modify this Policy at any time in its sole discretion. If we make material changes, we will provide notice by updating the "Last Updated" date at the top of this page and, where appropriate, by sending an email notification or displaying a notice within the Service. Your continued use of the Service after the effective date of any modification constitutes your acceptance of the modified Policy. If you do not agree to the modified Policy, you must cease using the Service.

13. Limitation of Liability for Privacy Matters

TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW, THE ROOMSNAP PARTIES SHALL HAVE NO LIABILITY FOR ANY CLAIM, LOSS, DAMAGE, OR HARM OF ANY KIND ARISING FROM OR RELATED TO: (A) THE COLLECTION, USE, STORAGE, DISCLOSURE, OR DELETION OF YOUR INFORMATION IN ACCORDANCE WITH THIS POLICY; (B) ANY UNAUTHORIZED ACCESS TO OR ALTERATION OF YOUR INFORMATION; (C) ANY DATA BREACH, SECURITY INCIDENT, OR CYBERATTACK AFFECTING YOUR INFORMATION; (D) YOUR RELIANCE ON THE SECURITY OR PRIVACY OF THE SERVICE; OR (E) ANY THIRD-PARTY COLLECTION OR USE OF YOUR INFORMATION. YOUR SOLE REMEDY FOR DISSATISFACTION WITH OUR PRIVACY PRACTICES IS TO CEASE USING THE SERVICE AND DELETE YOUR ACCOUNT.
